Privacy Policy

Venue Space is made by φ (Phi) and operated by The Phi Standard, LLC (“we” or “us”). This policy explains what we collect, why, and what we do with it. We have written it in plain language rather than boilerplate.
Who this covers
- Visitors to venue-space.com, including anyone who asks us for pricing.
- Venues that use Venue Space to run their website, bookings and planning, and their staff.
- Couples and wedding guests who use a venue’s Venue Space pages. For this information, the venue decides what is collected and how it is used. We process it on the venue’s behalf, and questions about it are best directed to the venue.
What we collect
From website visitors. Whatever you enter in our pricing form: your name, venue, email and any optional details. We also count page views with privacy-friendly analytics that do not use cookies or identify you.
From venues. Staff names and sign-in email addresses, and the material you give us to run your venue: photos, packages, pricing, policies, availability and bookings.
From couples and guests, on a venue’s behalf. Names and contact details, wedding dates and guest counts, estimate and date requests, planning briefs and tasks, questions asked of the planner, RSVPs, the communication choices each guest makes, and photos guests choose to share.
How we use it
To run the service: showing availability, holding and confirming dates, sending the emails the service depends on (such as request received, confirmed or declined, and sign-in setup), answering planner questions, and supporting the venues we work with. We use pricing-form details only to reply to you.
We do not sell personal information, and we do not share it with advertisers.
The AI planner
When a couple asks the planner a question, it is processed by an AI model provider to produce an answer based only on the venue’s published policies and the couple’s own planning details. Questions it cannot answer are passed to the venue’s staff.
Guest photos
Photos guests share are stored privately. They are visible to the venue’s staff for review and, if approved, to the couple. They are not published to a public gallery.
Who processes data on our behalf
We use a small set of vendors to operate the service. Each receives only what it needs to do its job.
- Vercel, for hosting and privacy-friendly analytics.
- Supabase, for the database, private file storage and sign-in.
- Resend, for transactional email delivery.
- Anthropic, an AI model provider, for planner answers.
- Cloudflare, for domain and email routing.
Cookies
This marketing site does not use advertising or tracking cookies. The Venue Space service uses cookies only to keep staff and couples signed in.
How long we keep it
We keep a venue’s information for as long as the venue uses Venue Space. When a venue leaves, it can ask us to delete its data and we will, subject to any records we are required to keep. We keep pricing-form details only as long as needed to follow up with you.
Your choices
You can ask for a copy of your information, ask us to correct it, or ask us to delete it. Email hello@venue-space.com and a person will handle it. If you are a couple or guest, you can also contact your venue, and we will help them respond.
Guests can choose separately whether to receive event updates, news from the venue, or text messages, and can change their mind at any time.
Security
Data is encrypted in transit. Each venue’s information is kept separate at the database level, staff and couples sign in with their own accounts, and couples only ever see their own wedding. No system is perfectly secure, and we will tell affected venues promptly if something happens that affects their data.
Children
Venue Space is not directed to children, and we do not knowingly collect personal information from children under 13.
Changes
If we change this policy in a way that matters, we will update the date at the top and let the venues we work with know by email.
